Role Overview
  • Great patient support is equal partshuman connection and getting the details right.
  • As aMedical Support Coordinator, you’ll often be the first voice a patient hears—helping them understand what happens next while keeping appointments, referrals, insurance information, and clinical documentation moving behind the scenes.
  • This is aremote, patient-facing healthcare support rolecovering patient communication and scheduling, provider outreach, referral management, insurance verification, and healthcare administration.
  • You’ll work across several systems throughout the day, so organization and accuracy matter. And when something doesn’t look right? Guessing about a patient’s insurance coverage is not the vibe. You’ll check, clarify, and communicate.

Key Responsibilities
  • Answer inbound patient calls warmly, confidently, and professionally.
  • Guide patients from initial enquiry through appointment scheduling.
  • Answer questions about services, insurance coverage, and appointment expectations.
  • Support patients who may be anxious, confused, or frustrated with calm and reassuring communication.
  • Schedule appointments, reminders, confirmations, and changes, including across multiple time zones.
  • Contact physician and provider offices for referrals, lab results, and clinical documentation.
  • Follow up on outstanding referrals and documentation before appointments.
  • Process inbound referrals received via eFax and maintain accurate referral-status records.
  • Collect and accurately record insurance information, including plan type, ID numbers, and network details.
  • Verify insurance eligibility and flag unclear or inconsistent coverage information.
  • Communicate coverage information accurately before appointments.
  • Upload patient and provider documentation into the EMR.
  • Maintain accurate and current patient demographics, contact information, insurance details, referrals, and appointment records.
  • Track callbacks, referrals, and outstanding tasks through completion.
  • Document workflows, edge cases, and process updates in internal reference guides.
  • Assist with credentialing support as required.
  • MaintainHIPAA compliance and patient confidentiality.

Requirements

Required Qualifications:
  • 2+ years of relevant experiencein customer service, patient support, administration, or a related role.
  • Exceptional spoken and written English with strong verbal communication and active listening skills.
  • Ability to communicate professionally and confidently with patients, physician offices, healthcare providers, and internal team members.
  • Strong attention to detail and accuracy when handling patient and healthcare information.
  • Strong organizational skills with the ability to manage multiple open tasks, callbacks, referrals, and follow-ups simultaneously.
  • Ability to work independently, prioritize effectively, and follow tasks through to completion.
  • Ability to remain calm and professional when supporting patients who may be anxious, confused, or frustrated.
  • Proactive communication when information is unclear, incomplete, or off-track.
  • Sound judgment and ability to escalate issues rather than make assumptions.
  • Familiarity withHIPAA and patient confidentiality requirementsand the secure handling of sensitive patient information.
  • Comfortable working across multiple systems simultaneously.
  • Experience with or ability to work confidently inBaseRow(system of record),PracticeQ / IntakeQ(EMR),SR Fax,GHL(phone/text), andGood Billing(insurance eligibility).

Preferred Qualifications:
  • Experience inhealthcare administration, medical office support, patient services, medical reception, referral coordination, scheduling, care coordination, or nutrition clinics.
  • Experience supporting aU.S.-based healthcare practice.
  • Experience making outbound calls tophysician, provider, or insurance offices.
  • Experience requesting and following up onreferrals, lab results, and clinical documentation.
  • Experience managingpatient calendars, appointment changes, reminders, and multi-time-zone scheduling.
  • Experience intelehealth, nutrition, allied health, primary care, specialist clinics, or other outpatient healthcare environments.
  • Familiarity with insurance-covered healthcare services, includingeligibility, coverage, referrals, or authorization processes.
